Details on how pre-contract information can be supplied to customers

Pre-contract documentation as quotation attachments

When producing your quote, you'll be asked to select which quotation pages you want to include within the Customise Quotation Pages dialogue.

Additionally, if applicable, the Pre-Contract Summary and Pre-Contract Information tabs will be shown. These tabs will show you the templates that will be used to generate the pre-contract documentation for the quote.

Pre-contract summary

These documents will be pulled through based on your configuration. The pre-contract summary document is a single document uploaded for your company. Or, if your organisation uses sub-companies, you may have a different document set against each.

You can click on the summary to get a preview of the HTML template, though this will not fully reflect the final document. Also be wary of making changes to the template here, as any changes will be made to the document for all quotations and users.

Pre-contract information

Pre-contract information is attached based on the services in the quote. Document templates are defined in Settings. They can be assigned at product base category level, and at inventory-level. Inventory-level documents will override category-level documents in the case that a service has both.

You can click on the summary to get a preview of the HTML template, though this will not fully reflect the final document (e.g. the header image will not show). Be wary of making changes to the template here, as any changes will be made to the source template for all quotations and users.

After clicking Generate, you'll be shown a preview of the quotation document that will be sent out. This doesn't include the pre-contract information. Click Email Quote to open the email dialogue.

You'll notice that the pre-contract documents will be added as attachments.


Hyperlinking pre-contract documents from a quote

You can also include hyperlinks to the pre-contract documents within the quotation pages.

Note that the image above is an example only. The links can be styled and formatted to suit.

This has the benefit of acting as a permanent record of documentation having being included with the quote, instead of only as an email attachment.

Upon quote generation, the quotation lines will be evaluated, and their corresponding documents will be linked to, as well as the appropriate pre-contract summary.

Pre-contract document confirmation at point of signature

If the customer is signing their quote online, and the quotation qualifies for regulation, they will need to make additional confirmations before they can sign.

If the customer has not opted out

If there is an opt-out against the quote, the customer will have to check boxes to indicate that they agree to entering into an agreement of more than 24 months, and that they have received pre-contract documentation.

Note that the lower checkboxes also act as hyperlinks to the pre-contract documentation. These act in the same way as the hyperlinks added by snippets, as mentioned above.

If the customer has opted out

If the quotation is regulated, but there is no opt-out against the quote, the customer will have to click an extra box to affirm that they agree to opt out of receiving the pre-contract documentation.
