Ever wondered what happens when a quotation turns into a sales order? In The Layer, this can happen in two ways: automatically, the moment a quote is marked as Won, or manually when a user hits the Convert button. Which option applies depends on your system settings, and knowing the difference is key to keeping your sales process smooth and your reporting accurate.


Why Restrict Manual Quote Conversion?

In The Layer, quotations can become sales orders in two ways:

  • Automatically, when a quote is marked as Won (if auto-conversion is enabled).

  • Manually, when a user clicks the Convert button on a quote.

That flexibility is powerful, but it can also create problems:

  • Sales may get marked as Won without a Signature Document.

  • Orders can be converted before the proper checks are in place.

  • Reporting accuracy can slip.

That’s why admins can control who is allowed to manually convert quotations, keeping things consistent and accurate.

🤔 Why it matters: Restricting manual conversions means you’re less likely to see orders or quotes moved forward without the right approvals.


Where To Check Your Conversion Settings

Admins can review the system-wide conversion setting here:
Settings ➡️ Company Setup ➡️ Company tab ➡️ Auto Convert Quotation To Order

  • If enabled: A Won quotation automatically converts to an order.

  • If disabled: Users can convert manually via the Convert button on the Quotes tab of a lead or customer record.


How To Restrict Manual Conversion for Specific Users

If you don’t want all users to have the ability to manually convert:

1️⃣ Go to: Settings ➡️ Users ➡️ <User> ➡️ Roles
2️⃣ Enable the role: Restrict Manual Conversion of Quotations

✅ What happens:

  • The Convert button still shows for that user, but they won’t be able to convert to an order manually.

  • This role has no effect if auto-conversion is enabled in Company Settings.


Common Questions (FAQs)

Q. Why does the quote show as Won when the Signatures section shows '0' signed?

This usually happens when the quote has been manually marked as Won, rather than updated automatically when a customer signs the document.

How to check who converted the Quote manually to Won?

  1. Go to the Audit Tab in the customer record, or

2. Open Settings ➡️ Audit Trail

If you have the right permissions, you’ll see exactly when the change was made and by which user.

💡 Pro Tip: To avoid confusion, it’s best practice to limit manual “Won” updates to administrators or senior sales managers only. That way, reporting stays accurate and signatures line up properly with status changes.
