Working with opportunity Checklist tasks

Looking for an easy way to stay organised and never forget a step? Your Opportunity Checklist Tasks are here to keep you organised, focused, and stress-free. Here’s a simple, step-by-step guide to setting them up and managing them like a pro.


Opportunity Checklist: What It Does

  • Creates checklist tasks automatically when you create an opportunity.

  • Lets you edit, reorder, and assign tasks so your workflow makes sense to you.

  • Helps you avoid duplicates between different opportunity types.

  • Makes it easy to track progress with notes, history, and bulk actions.


How to Set Up Your Checklist Tasks

  1. Head to Settings → Inventory Configuration → Product Opportunity Types.

  2. Choose the opportunity type you want to edit.

  3. Click into it and hit New Step.

  4. Enter a task title and click the blue tick ✅ to save.

Quick Commands:

  • Pencil: Edit the title.

  • Tick: Save the title.

  • Cross: Delete a step.

  • Arrows: Move tasks up or down.

💡 Pro tip: Don’t forget to click so your changes stick!


Auto-Creation Magic

Once you’ve set up your checklist tasks, the system will create them automatically whenever you create an opportunity of that type.

🔍 Duplicate Check:

If an opportunity has multiple types, the system checks for duplicates.

To ensure a task doesn't appear more than once, make sure the name of the checklist task is identical across all relevant opportunity types (e.g., "Mobile" and "Broadband").

For example: If both Mobile and Hosted opportunities include a task named "Perform Credit Check," it will only appear once on the checklist.


Managing Checklist Tasks

Hold 🤚 to drag and drop tasks between To Do, Doing, and Done.

✅ When a task lands in the Done column, you’ll see a green date showing exactly when it was completed.


Actions in Checklist Tasks

  • Use the Notes feature to log progress.

  • Click History to see updates.

  • Arrows: Collapse or expand checklist task details for a cleaner, easier view.

  • Pencil: Edit individual task details (Task title, Due date, & Owner).

  • Checkbox: Select or deselect all tasks for bulk action or perform a specific action

As it reads, it allows you to select multiple tasks at once and deselect them.

You can complete the following actions :

  • Delete selected tasks

  • Complete selected tasks; once selected tasks are completed, they automatically move to the 'Done' column

  • Refresh the Task list


Bulk Actions to Save Time

Click the burger icon to take action on multiple tasks at once:

  • Create: Add a new checklist task.

    • By default, the task will be titled “New Item”, the date🗓️ will be set to the day it’s created, and the owner will automatically be the person who made it (e.g. Melanie Lenon = ML).

    • ✏️ Don’t forget to update these details by clicking the Pencil icon.

  • Filter: By only your tasks

  • 👤 User: Bulk-assign owners to selected tasks.

    • Select the User → Assign Refresh icon ,

    • Use the checkbox to select specific tasks and not all.

  • Date & Time: You can either type the date in DD-MM format (e.g. 09/10) and it will default to 00:00, or pick both the date and time using the calendar/clock selector.

  • 🔘 Toggle: Select or deselect all tasks for bulk action.

Task Stacks help you see:

  • Checklist Tasks due today, this week

  • Overdue tasks you need to catch up on

With bulk actions built in, you can keep everything updated.
