Setting up quotation approval rules

The Approval Manager allows you to set quotation approval rules on a per-team basis, and manage approval requests via approval queues.

New quotations may be subject to various levels of authorisation before they can be confirmed.

The Approval Manager tool lets you define a set of rules for this authorisation process, based on a number of factors.


Creating a new rule set

Access Approval Manager from the Settings area.

Click New Rule Set or select an existing rule to edit.

If you do not have access to the Approval Manager, please contact your Account Manager.

You can set a Name for the rule, and a Description for your own reference.

The Validity Period is optional. A rule must be checked as Enabled to take effect.

Currently only Quotation, Authorise and Team are available as selections for the Configuration selections.

Approval Team

Add one or more Approval Teams to configure the team(s) that must provide approval for this particular rule.

If you want this rule to apply to all teams, you do not need to add an Originating Team. If you want only a specific team to be subject to this rule, click Add Team under Originating Team.

An Approval Type setting of Some lets you specify how many people in the approval team must provide approval. Everyone means that all members of the team must approve.

Advanced Settings

If you have selected multiple originating teams, you can determine whether all or any conditions must be met e.g. a user is in both originating teams or just one.


Example Scenario

Hardware fund over £20 000 for All Teams

The outcome from this approval rule is that all users adding a hardware fund of £20,000 or more will not be able to produce the quotation until they get approval from management.

Make sure to enable the rule set. Only then the rule will be active.

Related user roles

Approval Manager - users with this role will have access to the approval queue, which provides visibility of the approval requests that have been made. They will be able to approve or decline the approval requests in their own queue.

Approval Manager - All Access - users with this permission will be able to view all approval requests for all rule sets, though they will not be able to approve all of them. This permission is designed to help assist with approval requests during annual leave cover.

Approval Override - users with this permission will be exempt from the approval process for all rules. Therefore this permission should be activated only for users who will never require quotation approval.
