Stock Import & Booking Guide

The Stock Import and Booking process helps you quickly add, track, and manage your inventory in The Layer, whether manually or through a CSV import.

🧭 How It Works (At a Glance)

Import → Validate → Review → Reconcile → Allocate → Done ✅

Step-by-Step Overview

1. Start a Stock Movement

Create a Stock Movement session to bring stock into your system.
You can:

  • Link it to a Purchase Order (PO), or

  • Create it manually for new items.
    Choose the warehouse and type of movement (In or Out).


2. Add or Import Items

You can:

  • Scan barcodes

  • Pick from a list, or

  • Import a CSV file

The import supports standard fields like Product Name, Barcode, IMEI, Cost, Warranty, and Condition.


3. Validation Checks

The system automatically checks:

  • No duplicate serials or barcodes

  • Products match existing catalogue items

  • Quantities don’t exceed PO limits

  • Items aren’t already in stock or allocated

This prevents mistakes and keeps your inventory clean.


4. Reconcile the Movement

Once you’re happy with your import:

  • The system finalises all items

  • Updates stock levels in the chosen warehouse

  • Prepares items for allocation or sale


5. Allocate Stock to Orders

You can then:

  • Manually assign items to sales orders, or

  • Auto-allocate available stock in bulk

When allocated, sales orders automatically update with:

  • Serial numbers

  • Supplier info

  • Warranty details

  • Accurate cost and profit data


6. Reporting & Export

You can export detailed reports showing:

  • Serial numbers

  • Conditions and costs

  • Booking and allocation dates

  • Warehouse information

If there are import issues, you’ll get a CSV error log highlighting exactly what needs fixing.
