A quick guide on how to set up a subscription to a work stack

Looking for an easy way to stay updated on overdue tasks, sales progress, or unpaid invoices, without having to check in all the time? With Work Stack subscriptions, you can get regular email updates on the activity that matters most to you.

🔹 What Can I Subscribe To?

You can create subscriptions for any stack based on these templates:

  • Case

  • Opportunity

  • Sales Order

  • Invoice

🤔 Why it matters: This allows you to get automatic updates on open cases, approvals, unpaid invoices, and more.

Work stack subscriptions help with:

  • 👥 Keeping team activity visible

Tip: You can group multiple stacks into a single subscription to reduce email clutter!


🔹 What Should I Do Before Subscribing?

Follow this flow:

  1. Decide what stacks you need

  2. Create the stack (if it doesn’t exist)

  3. Test that the data is correct

  4. Subscribe to receive updates!

⚠️ Note: Subscriptions only work for stacks created from a supported template (Case, Opportunity, Invoice, or Sales Order).


🔹 How Do I Subscribe to a Stack?

There are two ways to subscribe:

▶️ Method 1: From Favourite Stacks

  1. Top right of a desired stack, click the menu icon in the top-right corner of your stack

  2. Choose Subscription Options > Subscribe

  3. Choose to:

    • Add to an existing group, or

    • Create a new group with custom delivery settings

You can choose between a simple schedule (daily, weekly etc.) or an advanced cron schedule for more control.

▶️ Method 2: From the Stack View

  1. Open the stack

  2. Find the Subscription area in the left-hand sidebar

  3. Click Subscribe, then follow the same steps as above


🔹 Managing Subscriptions

Can I Unsubscribe?

Yes! Just:

  1. Open the stack

  2. Click Subscription Options > Unsubscribe

Deleting a subscription group

Administrators can either delete a whole subscription group or individual stacks from a group:

Can I View My Subscriptions?

  • Users: Avatar ➡️ Profile ➡️ Subscriptions

  • Admins: Settings ➡️ Users ➡️ Subscriptions tab

Can I check what another user is subscribed to?

No, unless you are an Admin.

Which frequencies are available?

Subscriptions can be scheduled to run hourly, daily, weekly, monthly, or yearly, depending on your needs.

What are subscription groups?

Subscription groups let you group multiple work stacks together, resulting in a single combined subscription email.


For example, you might group all case-related stacks into one email instead of getting separate emails per stack.

The name of the subscription group will appear as the subject line of the email you receive.

Tip: Use meaningful group names—these appear in your email subject lines!

Can I create multiple subscription groups?

Yes! You can create multiple groups—useful if, for instance:

  • Group 1: Overdue cases

  • Group 2: New opportunities

No, work stacks can only be subscribed to one group at a time.

Yes, you can mix invoice, opportunity, sales order and/or case work stacks to one subscription group.

Can I subscribe to other users' work stacks?

No. You can only subscribe to work stacks visible within your own account.
