The Layer for Zoom: User Guide

Create and manage Zoom meeting links directly from appointments in The Layer.

Overview

The Layer is a CRM platform from Layer Systems Limited. The Zoom integration lets a user add a Zoom meeting to any appointment they schedule in The Layer. The Layer creates the Zoom meeting, puts the join link on the appointment, keeps the meeting in step when the appointment changes, and deletes the meeting when the appointment is deleted.

Each user connects their own Zoom account. No Zoom administrator installation is needed, and The Layer never sees your Zoom password.

What the app can do in your Zoom account

Why The Layer asks for it

View your Zoom profile (user:read:user)

Confirms the Zoom account belongs to the same person as the Layer user, and links Zoom's uninstall notification to the right record.

Create meetings (meeting:write:meeting)

Creates a Zoom meeting when you switch on Zoom meeting for an appointment.

Update meetings (meeting:update:meeting)

Keeps the meeting's topic, start time and duration in step with the appointment.

Delete meetings (meeting:delete:meeting)

Deletes the meeting when the appointment is deleted, so nobody joins a cancelled meeting.

The app does not read your existing meetings, recordings, contacts or chat.

Adding the app

Before you start

  • You have a Layer user account, and a Zoom account.

  • The email address on your Zoom account is the same as the email address on your Layer user profile. The Layer checks this and will not connect a Zoom account that does not match.

  • The appointment type you use has online meeting support switched on. If it does not, the Zoom option is greyed out. Ask your Layer administrator to enable it for the appointment type.

  • Your browser allows pop-ups from The Layer. The Zoom sign-in opens in a small pop-up window.

Connect your Zoom account

  1. In The Layer, open the calendar or a record and create a new appointment (or open an existing one to edit).

  2. Choose an appointment type that supports online meetings, and select the assignee.

  3. In the Zoom meeting card, switch the toggle on.

  4. If Zoom is not connected yet, a red ! icon appears with a Sign in with Zoom button. Click the button.

  5. A Zoom window opens. Sign in to Zoom and choose Allow to authorise The Layer for the permissions listed above.

  6. The window closes and the icon changes to a green tick. You are connected.

A countdown beside the green tick shows how long the connection remains valid. When it runs low, click Re-authenticate to renew it. If it reaches zero the status returns to red and you must sign in again.

Using the app

Create a meeting

  1. Create or edit an appointment and switch Zoom meeting on. Make sure the status is a green tick.

  2. Save the appointment. If Zoom is not connected, The Layer stops the save and asks you to sign in first.

  3. The Layer creates the Zoom meeting in the background. Until it is ready you will see Zoom meeting link will be available after sync. Re-open the appointment shortly afterwards.

  4. When ready, a Join Zoom Meeting link appears on the appointment, and the link is added to the end of the appointment description as Join Zoom Meeting: <link>. Share the appointment as usual and attendees can join from the link.

Change a meeting

Edit the appointment's subject, date, time or duration and save. The Layer updates the same Zoom meeting; the join link does not change.

Remove Zoom from an appointment

Open the appointment, switch Zoom meeting off and save. The Zoom link is removed from the appointment description.

Cancel or delete an appointment

When an appointment that has a Zoom meeting is deleted, The Layer deletes the Zoom meeting from your Zoom account and removes the stored meeting link. The appointment shows Zoom meeting has been cancelled for this appointment where it is still visible.

Scheduling for someone else

The Zoom meeting is created in the Zoom account of the appointment's assignee, not the person creating the appointment. The assignee must connect their own Zoom account. If you select an assignee whose Zoom sign-in in your browser is a different account, The Layer shows a message naming both accounts. Sign out of Zoom in your browser and sign in with the assignee's account.

Zoom and Microsoft Teams

An appointment can have a Zoom meeting or a Microsoft Teams meeting, not both. Switching one on disables the other.

Removing the app

You can disconnect at any time, in either place.

Option 1: Disconnect in The Layer

  1. Open an appointment assigned to you with Zoom meeting switched on and connected.

  2. Click Deauthorize, then confirm Revoke Zoom Access.

The Layer revokes its access with Zoom and deletes the connection details it stored. The Deauthorize button only appears on your own appointments; it is not shown for other users.

Option 2: Uninstall in Zoom

  1. Sign in to the Zoom App Marketplace.

  2. Go to Manage → Added Apps, find The Layer and click Remove (Uninstall).

Zoom notifies The Layer, which deletes the connection details it stored for you.

What happens when you remove the app

  • Your Zoom connection ends. The Layer can no longer create, change or delete meetings in your Zoom account.

  • Meetings already created stay in Zoom. They keep working, and their join links in existing invitations are unaffected. Changes or deletion of those appointments in The Layer will no longer reach Zoom, so update or delete them in Zoom if needed.

  • New appointments cannot use Zoom until you connect again by following Adding the app.

  • The join link text already added to an appointment description is part of that appointment record in The Layer, and it is not removed when you disconnect.

Your data

Details

Received from Zoom

Your Zoom user ID and email address (from your profile), the meeting ID and join link of meetings created, and access tokens. Zoom's uninstall notification is also received.

Sent to Zoom

The appointment subject (as the meeting topic), start time, duration and time zone. No attendee or customer details are sent.

Stored by The Layer

Connection record: your Layer username and company, encrypted access and refresh tokens with their expiry times, your Zoom user ID, and created/updated dates. Your Zoom email is used only to check it matches your Layer profile and is not stored.
​Meeting record: the appointment, Zoom meeting ID, join link, your Layer username and sync dates.
​Appointment description: the join link.

Retention

The connection record is kept until you disconnect (in The Layer or in Zoom), when it is deleted. Meeting records are removed when the appointment is cancelled.

Troubleshooting

Problem

What to do

The Zoom meeting toggle is greyed out

Select an assignee first, and choose an appointment type with online meeting support. Zoom is also disabled while Microsoft Teams is switched on for the appointment.

Nothing happens when I click Sign in with Zoom

Allow pop-ups for The Layer in your browser and try again.

Message: "Zoom is signed in as … but the assignee is …"

The Zoom account in your browser is not the assignee's. Sign out of Zoom in the browser, then sign in with the assignee's own Zoom account. Its email must match the assignee's Layer profile email.

Message: "Zoom is not connected" when saving

Click Sign in with Zoom (or Re-authenticate if the connection expired), then save again.

Status turned red after working before

The connection expired or was removed in Zoom. Sign in with Zoom again.

"Zoom meeting link will be available after sync"

The link is created in the background. Wait a short while and re-open the appointment. If it never appears, contact support with the appointment reference.

"Could not load Zoom meeting link"

Refresh the appointment. If the message stays, contact support.

The Deauthorize button is missing

It only shows on appointments assigned to you, when Zoom is connected.

FAQ

Does every user need to connect Zoom?

Yes. Each person who is the assignee of Zoom appointments connects their own Zoom account once, and renews it when the countdown runs low.

Do attendees need The Layer or a Zoom app installation?

No. Attendees join with the normal Zoom join link.

Can a Zoom administrator install it for everyone?

No. The integration uses user-level authorisation. Each user authorises their own account.

Is my Zoom password shared with The Layer?

No. You sign in on Zoom's own page. The Layer receives only the permissions listed in the Overview.

Which Zoom permissions does it use?

See Overview. It uses four: profile read, and create, update and delete meetings.
