Billing Export app

The Billing Export app is a tool that is used as part of the Abillity integration feature.

It is used to sync service charges and billing IDs directly to Abillity.

This is accessed from the Apps menu at the bottom of the screen.

A user must have the App - Billing Exports user role to access the app.


Billing Platform filter

The menu in the top-right is used to select the desired Billing Platform - in this case, Abillity.

Selecting this will load a layout that has been tailored specifically for Abillity. It will also mean that only items with either an upfront or recurring billing route of Abillity will be shown.

You can set a default billing platform in Settings. This will auto-select the desired billing platform when the app is opened. Check this article for details.

Billing route is set against products and services in inventory.


Service charge and Billing ID sync

Eligible lines

The Service Charges tab lists products and services that have the Bill State of Ready to Bill. These will be synced as service charges in Abillity.

For products and services to enter this state, order processors must convert them to assets first.

This means that services must have a connection date and MSISDN (or equivalent e.g. Number) set.

Products must have an issue date.

It's also possible to manually change the Bill State, if the user has the Allow update billing user role.

Billing IDs

When a service charge is synced, any new connected Billing IDs will also be synced. This means that billing IDs do not need to be uploaded individually.

Service assets require a billing ID. Product assets cannot be assigned a billing ID.

Performing the sync

Lines can be selected for sync individually or in bulk. Use the Sync to Abillity button to attempt the sync.

After a moment, a confirmation message will show. If the line is successfully synced, it will disappear from the grid. If it fails, an X will appear in the Sync Failed column.

In either case, you can check the Service Charges History tab.

This shows a history of successful and failed syncs. Failed syncs can be retried here. Any error messages will be visible in the right-most column.


Highlighting lines as needing attention

Order processors can mark a product or service as Needs Attention in Data Capture.

Doing so will result in the line being highlighted in the Billing Exports app as shown:


Change to In Billing / Change to Ignore Billing

The Change to In Billing and Change to Ignore Billing buttons will be visible if the user has the Allow update billing user role.

The main purpose of the Change to In Billing button is to update the Billing Status of selected items to In Billing without attempting a sync to Abillity.

The Change to Ignore Billing button will update the Billing Status to Ignore Billing.

This will update assets and sales order Data Capture.

⚠ It is generally recommended to only give the Allow update billing user role to finance users. If order processors have this role, there is a chance that Billing Status could be updated to In Billing in Data Capture, resulting in the lines never reaching the Billing Exports app.

Notes on sales order lines will also be shown in the Billing Exports app:

These can also be added at quotation stage and will carry through.


Customising the grids

The Product Export and CLI Export grids can be customised with regards to column order.

You can drag and drop columns to reorder them temporarily. If you would like to persist this ordering, you can click on the Save button in the top-right of the grid.

Clicking Confirm on the prompt shown will cause the order to be used whenever you access that grid.

If you click No, then you can access your saved configuration by clicking on the Load button.

These changes will only apply to the current user. You can use the Apply To button to share this configuration with another user, if you have the user role Allow Grid Customisation for Users or Teams.


Export to CSV

You can also create an export of selected lines from the Service Charges tab. This is optional.

Click Check All to quickly select all lines or select individual lines. Then click on Export Abillity Product to create the file.

Customising the export file

The columns that are exported can be defined from Settings - Billing Platforms - Abillity. These changes will be seen by all users.

Take a note of the selection in the Billing Export Templates field, then click on the Billing Export Templates button on the left side.

Click the template that was noted before, then click on the Billing Export Columns tab.

Here, you can select which columns to Include. You can also use the second column to change the Column Header in the output. You can also enter numbers in the Sort Order field to determine the order.
