What this feature does
When a quote is fully signed, the Layer saves a PDF copy of that signed quote straight into your SharePoint, automatically. No one has to download the quote and upload it by hand.
The PDF is tidied away into a clear, predictable folder path and named after the quote, so anyone on the team can find the official copy quickly.
Why it's useful
● No more manual filing. Signed quotes save themselves, so there's nothing to remember and nothing to upload.
● One official copy. SharePoint holds the real document. The Layer just keeps a link to it, so there's never confusion about which version is the authoritative one.
● Easy to find. Every signed quote lands in the same logical place, following a folder path you can predict.
● Nothing gets lost. Each signed quote gets its own PDF, so a full history builds up automatically over time.
Where are your signed quotes saved?
The Layer files each signed quote using a simple, consistent folder structure inside your SharePoint:
Folder path A-Z letter or number 0-9 › Customer name › Opportunity name › Quote reference.pdf
Example: A › Acme › OPP-001 › QUO-1234signed.pdf |
The first level (a letter or number) is based on the first letter of the customer name — so “Acme” sits under A. Customer names that start with a number or symbol are grouped together under a 0–9 folder.
This grouping keeps every folder a sensible size, so SharePoint remains performant and links stay short and reliable - even as the number of quotes grows over the years.
The file itself is named exactly the same as in The Layer for consistency (for example QUO-1234signed.pdf).
How does it work?
Automatic trigger - signed quote
Customers sign quotes exactly the way they do today. There's no new screen or extra step. The filing happens quietly in the background.
Once a quote is filed, two things appear on the quote:
A SharePoint location link. Click it to open the PDF straight in SharePoint.
2. A filing status. This shows “Filed” when everything worked,
or “Failed” if something went wrong. If it failed, hovering over the status shows a short reason.
Manual trigger - before the quote is signed
The folder structure in SharePoint is as per the example:
A › Acme › OPP-001 › QUO-1234signed.pdf
Therefore The Layer also provides you with an option to create SharePoint folders manually from your customer record, opportunity and quotation manually.
Customer level folder
Trigger the manual folder creation only in case that folder is required for additional document storage prior to having a signed quotation.
From customer and lead screen access SharePoint action button
and select 'Manage SharePoint Folder' function.
You will be presented with the following screen:
If you require the SharePoint folder to be created click 'Continue' otherwise this will be created automatically once there is a first signed quotation.
Once you click 'Continue' you will be presented with the confirmation of the SharePoint folder creation.
Opportunity level folder
Trigger the folder creation manually in the scenario where a sales or presales team want to upload required documents to the share point before the quotation is signed.
To create and sync a SharePoint folder to your opportunity go to 'Run Action' at the bottom of the opportunity screen and select operation 'Manage Folder in SharePoint'
Signed quotation
In case the automation has failed, you can trigger the syncing of the signed file manually by selecting operation 'Manage Signed File in SharePoint'
Error messages:
Quotation not signed yet
Only signed quotations can be synced to the SharePoint folder.
Quotation signed manually
If permission allows (Quotation Manual Sign) a user is able to mark a quotation as 'Won' via status change. This is used in case a wet signature in a quote was accepted.
In this case the SharePoint folder can be linked via Opportunity screen and signed copy of the quotation is uploaded to the SharePoint manually.
Useful to know
You can have several signed quotes against one opportunity
If an opportunity has more than one signed quote over time, that's fine. Each signed quote gets its own PDF, and they all sit together in the same opportunity folder. The date stamp and quotation sequence number will make it clear which is the latest signed quote.
What happens when you rename a customer
Renaming a customer in The Layer does not move or rename the folders already in SharePoint. Quotes filed before the rename stay where they are (and their links keep working), while any new signed quotes are filed under the new name. This is deliberate — it keeps every existing link valid.
Where the document actually lives
The PDF lives in SharePoint and are also stored in The Layer. The Layer keeps a copy of the PDFs against a customer record against the 'File' tab.
Where can I find the URL link ?
Lead Record
Within the Lead record -> SharePoint -> Manage SharePoint Folder
Customer Record
Within the Customer record -> SharePoint -> Manage SharePoint Folder
Opportunity
Within the opportunity screen -> Run Action -> Manage Folder in SharePoint
and also Opportunity - > Quotations TAB -> Signed Documents
Quotation
Within the quotation screen -> Select Operation -> Manage Signed File in SharePoint
and also quotation screen -> Signed.
Permissions
Folder creation and file writes respect tenant-level SharePoint permissions, The Layer doesn't attempt to overwrite individual users permissions to your company's SharePoint.
How are the Failures handled?
A generic failure of the script is sent via an email notification to email/s selected at the configuration. A specific quotation failed to sync to SharePoint is sent via an email notification to specified users.
